Email
Mailaccounts
Here you can manage all email accounts of your domain(s).
To create a new email account, simply click on «Add Mailaccount». The account will be created with all default settings, which you can then edit by clicking on «Settings» (pencil icon) on the right side of the account.
Password
When creating an email account, it is optional to provide a password. If you choose not to enter a password, a 12-digit password will be generated automatically by our system. The password will be displayed here immediately after creating the email account, but can no longer be displayed in a later step.
Our password requirements:
- Minimum length: 10 characters
- The password must contain at least 1 number (0-9)
- The password must contain at least 1 lower case letter (a-z)
- The password must contain at least 1 upper case letter (A-Z) or a special character
- The password must have a minimum complexity according to the Zxcvbn algorithm and must not be compromised.
Quota
With the quota you define the maximum amount of storage space an email account can use. You can also edit the quota later by clicking on «Settings» (pencil icon) next to the mail account.
The quota is always deducted from the available space of your hosting account, regardless of whether the mail account effectively uses the reserved space or not.
Deactivation
An email account can be deactivated (or reactivated) at any time. Only the access via username/password is blocked. The account holder is therefore denied the following accesses: Webmail, IMAP, POP3, sending via SMTP.
When disabling an email account, you have the following choices:
- Continue to allow incoming emails: Incoming emails to the associated email address will continue to land in the mail account, even if it has been disabled.
- Reject incoming emails: All email addresses pointing to this mail account will also be disabled. Incoming emails are rejected, i.e. the sender receives an error message in the form of a
MAILER-DAEMONmessage.
Forwardings
Here you can manage all email forwardings of your domain(s). You can define forwardings, which forward to one of your existing email accounts or to any external email address.
The forwardings can be set up independently from the email accounts! So you don't need an associated email account if you just want to set up a forwarding to another email address.
The field for the destination address(es) also supports the input of multiple recipients. Different separators are supported (space, comma, semicolon). This allows you to create several individual forwardings with the same source address in one step.
Mail Domain Auto-Deactivation
Every 15 minutes, we run an MX check on all active mail domains to verify if they are correctly pointing to our incoming mail servers. For consistency reasons (to prevent email delivery loops), we auto-deactivate any mail domain that is no longer resolving to our incoming mail servers. All email forwardings with that domain in their source address will also be deactivated.
Once this happens, the webmaster of the underlying hosting account will be notified by email. He will find detailed instructions of how to fix the problem in that notification. Usually it's a matter of fixing the MX records in DNS for the affected domain. They should always point to our incoming mailservers:
@ IN MX 10 mx1.onlime.ch.
@ IN MX 50 mx2.onlime.ch.As soon as this is done and TTL of the previous MX records have expired, the next run of our quarter-hourly MX check will pick up the new state and re-activate the mail domain and all related email forwardings.
Force Reactivation
If you want to speed up the whole process, you can force-reactivate a mail domain by clicking on the «FORCE REACTIVATE» button in the warning banner that shows up on the bottom of our email management.
Please only do this if you are aware of any potential mail loops while the TTL of the previously wrong MX record has not yet expired.
Once a domain is force activated, our MX check will ignore it for the next 24h ! Only if after that timespan the MX-records still point to some 3rd party mail servers, the mail domain will get deactivated again.
